Who your lab works with, and the history with each one

Vendors, cores and collaborators in one list.

When a postdoc moves on, the lab keeps the record of who quoted what, who promised the replacement laser, and who to ask about the shared mouse line. Contacts holds the organizations your lab deals with and the people at them, each with a dated log of notes, calls, emails and meetings.

The vendors you buy from, the sequencing core down the hall, the engineer who services the confocal and the lab across town you share a line with sit in one list that belongs to the team, so every project sees it and each vendor is entered once. A supplier's page lists the materials you buy from it, and a person can be linked in any note or task.

One list of the organizations the lab deals with

Suppliers, cores, service companies, collaborating labs and the institutions they sit in, each with a type, a main contact and the date you last spoke. Mark the vendors you use most as Preferred and they sort first. Only suppliers appear in the pickers on orders and inventory items, so a core never turns up where you choose a vendor.

A dated log of every call, email and meeting

Pick Note, Call, Email or Meeting, date it, and write what was said or agreed. Each email is marked Sent or Received and each call Outgoing or Incoming, and the entries sit on the person's timeline beside every change to their details. Set a Follow up date and a Planner card named for them lands on the board that morning.

See every conversation the lab had this week

The Log tab lists every entry the team has written, newest first, with who it was with and who logged it. Filter by kind, direction, teammate or date, and on People the Contact filter finds everyone still waiting on a reply, so a quote request from three weeks ago surfaces before the order is late.

Link the right person in a note

Link a person in a note or a task, or type @ on a notebook page, and the card carries their role, organization, email and last contact. A collaborator on the project can read that card too.

Organizations and people

  • Five organization types

Supplier, Service provider, Collaborator, Customer and Other. Suppliers show a truck in lists and every other type an office building.

  • Several organizations per person

Give each one a role, a start date and an end date. Former organizations stay on the page, grayed out, so a move keeps its history.

  • Part of and Affiliated with

File a department under its school and a core under its institute. The parent lists everything within it, and its People tab can include their people.

  • Pictures and logos

Crop a photo for a person and a logo for an organization. Both belong to the team and show in every project.

The log and follow-ups

  • Direction on calls and emails

Sent or Received, Outgoing or Incoming, with an optional time. Last contact on both lists shows which way the newest one went.

  • Contact status filter

Awaiting reply, Replied, Contacted or Never contacted, read from each person's newest call, email or meeting.

  • Do not contact

Mark someone with a reason. The list, their page and their card in a note carry the tag, with who set it and when.

  • Follow up in the Planner

A follow-up date files a card hidden until that morning. Move the date and the card moves with it.

Tags, fields and sources

  • Shared tags

One set of tags across people and organizations, in nine colors, with a count of who carries each.

  • Your own fields

Add Text, Number, Date or Choice fields for what your lab tracks, such as an instrument serial number or a career stage.

  • Where a value came from

A value loaded from a staff directory or a public registry shows its source, the page it was read from and the day.

  • Mark a value wrong

A wrong value stays visible, struck through, with who marked it and why, and a save that sets it again is refused.

Import, export and access

  • Import

Bring people or organizations in from CSV, TSV or Excel. Organizations match by name, and an invalid email or phone number comes in blank with a count.

  • Export

People, organizations and the log export as CSV or Excel under the current filters. A long export is emailed as a link.

  • Kept by the team

Contacts belongs to the lab's team. A project collaborator outside it sees only the card of a person linked in a note they can open. A connected AI assistant can save a person's email and phone but is never sent them, or any field you mark as holding contact details.

  • Work with it from your AI assistant

Describe a call to a connected AI assistant to log it on the right person and set the follow-up. Ask it who you're still waiting on, or what the core said last month, and it answers from the log.
